Recurring invoices in Klaq: schedules and delivery modes
Schedule daily, weekly, monthly, or yearly invoices, with manual draft review or approved automatic finalization and email queueing.
Repeat work often needs repeat billing. Klaq recurring profiles support daily, weekly, monthly, and yearly schedules. Choose manual delivery to review generated drafts, or automatic delivery to finalize and queue invoices for email after the profile is approved.
The short version
Recurring invoices are available during an active trial and with Pro. Choose a source invoice, cadence, first date, time zone, and delivery mode, then review and approve the profile. Due occurrences are processed when background jobs run. Automatic email delivery also requires a configured sending service.
Start with a source you can trust
Check the customer, descriptions, quantities, prices, currency, and payment details in the invoice you want to reuse. A recurring profile repeats a billing structure; it cannot know whether this month's work still matches the earlier agreement.
For a maintenance engagement, keep the recurring line specific enough to identify the service. Record a change in the engagement before relying on the next draft.
A void invoice cannot be selected as the recurring source. The first occurrence date must be today or later.
Choose the billing rhythm
Choose daily, weekly, monthly, or yearly recurrence and the repeat interval. Set the first occurrence, send time, and time zone. You can end the schedule on a date, after a number of invoices, or leave it open-ended.
Month-end schedules are adjusted to valid calendar dates. Still, review the generated occurrence rather than assuming every month contains the same day number.
The recurring worker protects an occurrence from being generated twice. A repeated background run should not create an extra draft for the same billing cycle.
Choose how each invoice is delivered
Manual mode creates a draft for you to review, finalize, and share. Automatic mode finalizes each generated invoice and queues an email using the approved recipients and message. Queueing is not a guarantee of delivery or reading, and neither mode automatically collects payment.
Review the customer, amounts, schedule, recipients, and message before approving automatic delivery. Keep those details current and pause the profile when the engagement changes. For manual delivery, review each draft before finalizing it.
Pause when the engagement changes
Pause a profile when repeat billing should stop. A profile is not a substitute for reviewing the customer's arrangement, and it does not create a payment-provider subscription.
If the workspace no longer has the required plan, recurring generation is restricted. Existing billing history remains available; that history does not imply future occurrences will continue to be created.
Common questions
Why has a due occurrence not appeared?
Check whether the profile is active, the date is due, the workspace is eligible, and background processing is configured. Ask the workspace administrator to inspect processing before creating a duplicate manually.
Will Klaq send reminder emails for these invoices?
Payment reminders are configured separately on a finalized invoice. Select the supported days before or after its due date. Sending depends on the outstanding balance, active trial or Pro access, configured email, and background processing. See invoice follow-up guide.
