Invoice templates: make future documents consistent
Choose invoice styles, review document settings, and understand which issued details stay fixed and which PDF options can change.
A consistent invoice is easier to recognize and review. Klaq offers built-in PDF styles and document settings for invoices and estimates. Review both the document data and the appearance before sharing a PDF.
The short version
Choose a document style and review the PDF before sending. Finalization stores issued document data, but it does not guarantee that every later PDF download has an identical appearance.
Start with the information the customer needs
Before adjusting the appearance, check the business identity, customer details, document descriptions, payment instructions, and dates. A recognizable layout is useful only when the underlying information is correct.
Keep notes concise and specific to the document. Use a clear email subject and message when preparing invoice communication rather than expecting the PDF design to explain the whole engagement.
Use the available document controls
Built-in styles and saved settings such as colors and email text are available during an active trial and with Pro. After the trial, changing settings requires Pro. Use the controls shown in your workspace and review their effect on the PDF.
Use the product's actual options rather than assuming you can upload any HTML layout or build an arbitrary PDF design. This is a document customization workflow, not a general design editor.
Understand when settings take effect
Review the settings before issuing the document. Finalization stores the document details and generates the issued PDF from the applicable settings.
Customer edits do not replace the issued customer or financial details. However, authorized users can change the PDF style and update finalized invoice notes. Classic PDFs use the current workspace brand color. A later download can therefore look different; keep a copy of the PDF you actually sent.
If you need to confirm the result for a new invoice, review the document available through the workflow before sending it to the customer.
Treat email and attachments as separate review items
Where template attachments and email copy are available, inspect the content you intend to send. A useful attachment should belong to the document's purpose, and the email should identify the invoice clearly.
Choosing a template or saving a draft does not send an email. Send it explicitly, or use an approved recurring profile configured for automatic delivery. A queued or accepted email is not proof that it was read.
Common questions
Can an issued PDF change later?
Yes. Its style, finalized invoice notes, or Classic brand color can change. Editing the customer record does not replace the issued customer details or amounts.
Can I promise a particular template count or feature on every plan?
Check the current workspace options and plan information. This guide deliberately avoids fixed template-count claims that may change.
